Start an impromptu meeting with Meet now

- [Gini] In my opinion, the easiest way to start with meetings is to start with Meet Now, which is the ad hoc meeting function. Meet Now allows you to have a meeting with people who you specifically invite, or within a channel. More on this later. Let me show you, first, how you can quickly create a meeting and invite other people to meet with you. Simply click on the Calendar in the left navigation pane to open this page and then click the Meet Now button and it says Start a Meeting Now. Meeting name, Meeting with Gini von Couter, always fills in your personal information, but you can change this meeting name, so if you wanted to change it to a specific topic, or add something else about whatever the meeting's about, go ahead. And we have two choices here, one is to get a link to share and that's so that you could send that link out, for example, in an email. Not a bad idea to have that, we might want it. And you can share that via email, or you can simply copy it. You have some Configure Meeting Options that we'll talk about later, but I'm simply going to click Start Meeting and I have a meeting running right now. I'm going to turn off my video. I can turn it back on when I start the meeting, if I wish, but I'd like you to be able to focus on some other items on the right hand side. I'm using computer audio, but you have a choice instead to use phone audio, if your phone system is integrated with Microsoft Teams. Audio in the room, if you are working in a Teams meeting room, or a meeting room with something like a Polycom, a device, and you can also say, I don't want to use any audio at all, but I'm going to be using my computer audio and I can make sure that the microphone and speakers are the microphone and speakers I want to use. If I want to use others, I can click here and make some specific choices about my device settings. Right now, it's picking up my system audio from Microsoft Windows. When you have everything set up the way you would like it to be set up, you can then click Join Now and you're the first person in the meeting then. And you're being asked, do you want to invite people to join you? Now, you can use the meeting link that we copied previously. You have another shot at it right here to copy it again, or you can simply choose to Add Participants. When I click Add Participants, I'm in the meeting. Note that in the upper left hand corner, the timer is running to show me how long this meeting's been running, so you know it's a real meeting and I am going to invite Charles Woodwick. I start typing his name. Says he's not in the meeting. Now, I know he's not available right now. It's the middle of the night where he is, but that's okay, I'm going to click Request to Join. And Charles would be getting a notification on his computer and his mobile device from Teams, saying, come on over. If I wanted to share this invitation with other people, I can click Share Invite, go back to the Copy Meeting Link and I can paste that link into an email message or a chat to send to someone else. If I want to add additional people to the meeting, I just enter them right here. So if I wanted to add Griffin Snow, I can request that Griffin Snow join the meeting. Just like that. I have a couple of different people being notified, hey, Gini's having a meeting, come on by. And when they join, we can then meet. When I'm all done with my meeting, or if during the meeting I want to hide this pane, I can click there to make it disappear. To view it again, go back and click the People icon in the meeting to view everyone who is currently in the meeting, as opposed to everyone I have invited to the meeting. When I display the meeting Chat, it shows up in exactly the same space as the People pane does, but the Chat will give me information about who I invited and when. So again, Chat and participants, or People, share that same space. When I am all done with my meeting, I simply click Leave. I was the only person in the meeting, so the meeting ended when I left it. That would not be the case if either Charles or Griffin were there. And that's how easy it is to open your calendar, click on Meet Now and start a brand new meeting that you can invite people to here in Microsoft Teams.
